Privacy, Safety, Consent Terms & Conditions for Weaving Online Safety Co-Design Circles

1. CONTENT WARNING & READINESS CHECK

We will discuss sensitive topics including cyberbullying, harassment, and technology-facilitated gender-based violence (TFGBV).

  • Self-responsibility: please assess your own capacity to engage with these topics before applying. By registering, you acknowledge that you are prepared to discuss these matters constructively. If you feel this content may be too overwhelming or destabilising for you right now, we strongly advise against participating in these specific sessions.

  • Voluntary participation: if you do decide to join, you remain in control. You may choose not to answer specific questions, turn off your camera, or withdraw from the session at any time without explanation.

2. SCOPE OF PRACTICE & SUPPORT

We are a research and co-design initiative, not a mental health service or crisis line.

  • Focus: we invite participants to remain focused on designing solutions. Our facilitators will gently redirect conversations if they become solely about venting ("trauma dumping").

  • Limitations: our facilitators are co-designers, not trained therapists. We cannot provide psychological counselling or clinical support. We will, however, provide a list of generally available external professional support resources at the start and end of the session.

3. CONDUCT: RESPECT & NEUTRALITY

We are co-creating a tool for everyone. To ensure the space remains inclusive:

  • No agendas: all our work is independent and non-partisan, we are here to co-create solutions as an independent community-serving NGO.

  • Share the air: we practice "speak up, step back." We want to hear from all voices, both introverts and extroverts, and will facilitate in such a way that no single voice dominates.

  • Zero tolerance: We have a zero-tolerance policy for hate speech, bullying, or aggressive behaviour; nor can we provide any space for discussion of illegal matters.

4. CONFIDENTIALITY & SAFEGUARDING

To create safety, stories stay in the room (we follow the "Chatham House Rules").

  • No recording: taking screenshots, audio recording, or video recording of the session is strictly prohibited.

  • Exception: our team is ethically bound to prioritise safety. If you disclose information indicating an immediate risk of serious harm to yourself or others (e.g., suicide risk or physical danger), we are required to follow safeguarding protocols to ensure you get help.

5. INTELLECTUAL PROPERTY & DATA PRIVACY

  • Co-design IP: the insights you provide will be ultimately used to build a co-designed solution. Your identity will remain anonymous in any public reports.

  • Personal data: your contact details are accessible only to the organising team for coordination purposes and will never be shared with third parties.

By participating in the co-design sessions, you agree to all of the above, and any further terms and conditions that may be shared with you prior to the session to ensure the safety of all participants.
